This is a follow-up to our phone conversation.  Our firm would be happy to allow your group to use our conference room, at no cost, every Wednesday morning, with the following parameters.  
 
Your group is 20 people, which means you would be using our largest conference room.  We would not be able to accommodate more than 20 people, except as far as adding chairs along the sides of the room (upon advance notice). 
 
Your meetings begin at 8AM.  Our office opens at 8AM, so we would not be able to let your group into our office and the conference room until a few minutes before 8:00AM when our receptionist gets to her desk.
 
If any meeting conflicts with a business meeting or firm event where the large conference room is needed, we would have to ask your group to find another meeting location on that date.  We have only one conference room that seats 20 people. 
 
While we can offer you the use of our conference room, we cannot offer any support services such as audio/visual equipment, hospitality services, etc. 
 
I realize there are several impediments to your group using our conference room, but our foremost consideration must be for our clients and the firm's business operations.  I'll wait to hear from you as to whether or not your group decides to use our firm's conference room.
